Booking a New Appointment
Tap the + button on the Calendar tab to start a new appointment. The booking form walks you through four steps.
Step 1 — Select a client
Section titled “Step 1 — Select a client”Search for an existing client by name, or create a new one inline.
- Type in the search field to filter your client list.
- Tap a client to select them.
- To add a new client, tap New Client and fill in their name (and optionally their phone and email).
You can also add a private note about the appointment at this step. Notes are only visible to your team — clients don’t see them.
Step 2 — Choose staff and service
Section titled “Step 2 — Choose staff and service”Select which staff member will perform the appointment, then select the service.
- Only staff who are assigned to the service will appear in the list.
- The service’s default duration and price are shown. You can override both if needed for this specific appointment.
- Staff members are colour-coded to match the calendar.
Step 3 — Pick a date, time, and workstation
Section titled “Step 3 — Pick a date, time, and workstation”Choose the date and time for the appointment.
- Available time slots are generated based on the staff member’s availability and the duration of the service.
- Slots that conflict with existing appointments or fall outside availability are not shown.
- Select a workstation if your salon uses them. Only free workstations for the selected time are shown.
- Toggle Email reminder to automatically send the client a reminder before the appointment (requires the client to have an email address and to be opted in).
Step 4 — Confirm
Section titled “Step 4 — Confirm”Review the full booking summary:
- Client name
- Staff member and service
- Date and time
- Duration and price
- Workstation (if applicable)
- Reminder status
Tap Confirm Booking to create the appointment. It will appear immediately on the calendar.
Custom duration and price
Section titled “Custom duration and price”If a specific appointment takes longer or costs more than the standard service, you can override the defaults at Step 3. The override applies only to this appointment — your service menu is unchanged.
- If no time slots appear, check that the selected staff member has availability set for that day and that their workstation isn’t already fully booked.
- You can create new clients during booking without leaving the flow — no need to add them separately in the Clients tab first.
