Managing Appointments

Tap any appointment on the calendar to open its detail view. From here you can view full details and take action depending on the appointment’s current status.

The detail view shows:

  • Status — colour-coded badge
  • Date and time
  • Client — name, phone, and email
  • Service — name, duration, and price
  • Staff member
  • Workstation (if applicable)
  • Notes
  • Email reminder status — whether a reminder is scheduled, sent, or disabled

Tap Confirm to move the appointment from Pending to Confirmed. Use this once you’ve verified the booking with the client.

Once the appointment has taken place, tap Mark as Completed. This closes out the appointment and moves it to a completed state.

If the client didn’t attend without cancelling, tap No-Show. This records the outcome without fully cancelling the appointment.

Tap Cancel Appointment. You’ll be asked to confirm before the appointment is cancelled. Cancelled appointments are removed from the calendar view but remain in the system for record-keeping.

Tap Edit to modify any of the appointment’s details — client, staff, service, date/time, workstation, notes, duration, or price. The edit flow uses the same steps as booking.

To move an appointment to a different time, tap Amend. This opens the booking form pre-filled with the existing details. Change the date and time, then confirm. The original appointment is marked as Amended and the new time is saved.

Each appointment shows the current reminder status:

StatusMeaning
ScheduledReminder queued and will be sent before the appointment
SentReminder was delivered to the client
FailedDelivery failed — check the client’s email address
DisabledNo reminder will be sent

You can enable or disable the reminder for a specific appointment from the detail view. Reminder settings for the whole salon are configured in Settings → Appointment Reminders.
